Buyers, the district office and volunteers
Order online, or the way they always have
- Browse your district's own store page on a phone or computer and choose a pickup place and day.
- Or mail in the district's paper order form, or phone the office.
- Get a confirmation with the order number and pickup details, by email when they give an address.
Run one inventory for every order
- Load the catalog from last year's order form or a spreadsheet, in the bundle sizes your nursery sells.
- Enter paper, phone and walk-in orders against the same stock the online store sells from.
- Record checks, handle substitutions, then print pack lists and a season report for the board.
Check people in from a phone
- Open the check-in link the office shares. No account, password or app.
- Search a name, see the order, and tap Check in.
- Unpaid orders show the amount to collect. If the signal drops while the page is open, check-ins wait on the phone and send when it returns.
What is included
One inventory
Mail-in, phone and walk-in orders draw on the same stock as your online store. When a species sells out, the online store stops selling it, and the office must confirm before entering another order for it.
Nursery bundles
Inventory is tied to your nursery purchase orders. Customers buy in the bundle multiples you're committed to, and an item is hidden from the store when its stock reaches the threshold you set.
Substitutions and refunds
If the nursery ships fewer of a plant than you ordered, substitute another plant on the order. The difference goes back to the customer: refunded to the card, or owed by the district on cash and check orders. The customer's email includes your substitution policy, and your cancellation rules still apply.
Pickup day from a phone
Volunteers search a name, see the order, and tap Check in on any phone. Pull sheets and pack lists for pre-bagging; orders not picked up follow your missed-pickup policy.
Your customer list stays yours
Buyers who opt in join your district's mailing list. Announce next season's sale to everyone on your mailing list, and export the list any time. It's yours. Last year's buyers can be added as customers from a spreadsheet saved as a CSV file, under Customers, Import customers.
Paper and check orders
Enter mailed and phoned orders against the same stock as the website, record checks as they arrive, and report online and paper orders together.
Questions a district treasurer asks
Each answer is written out in full in our terms, privacy policy, security page and help sheets.
What does it cost?
SeedStand's fee: 3% of card payments, then 2% after your first $40,000 of card payments in a season year. No license. No fee on cash or check. Until our system applies the 2% rate on its own, we pay back the difference on card payments made after your first $40,000 of card payments in a season year. Your district covers card fees, and card payments go to its own Stripe account. There is no long-term contract, and sign-up is self-serve. The pricing page has a worked example, and the sample store is open to anyone.
Where does the money go?
Card payments are deposited to your district's own Stripe account. SeedStand does not hold funds and never sees card numbers. Checks and cash never pass through us.
Who owns the customer list?
Your district does. Export it, with every order, to a spreadsheet at any time without asking us. We do not sell, rent or broker anyone's data.
What if the site is down on sale day?
A volunteer's phone with the check-in page open keeps checking people in without a connection, and sends the check-ins when the connection returns. Pull sheets and pack lists can be printed the day before. Mail and phone orders can be entered by the office once the site is back, from the same stock. The status page shows whether the service is working right now.
Who we are
SeedStand is built and operated by Sequel Solutions LLC, a limited liability company registered in Michigan. There is no reseller. The services SeedStand runs on are listed under “Where the data is.”
Write to support@seedstand.org.
Where the data is
The application runs on Vercel and the database is Neon Postgres, both in the United States. Email is sent through Resend. Card payments go directly from the buyer's browser to Stripe. The optional catalog import from an order form uses Anthropic (Claude): it receives only the file you upload, and only when you use that import.
Each district's sales, orders, customers and payments are kept apart by the database itself. Volunteers can check people in. They cannot record payments or change what is on an order, and they do not see customers' email addresses. If a volunteer takes cash or a check at the table, it is kept as a note for the coordinator, who records the payment.
